Cleaning Coworking Spaces and Shared Offices in NYC

Cleaning Coworking Spaces and Shared Offices in NYC

Coworking space cleaning is a different job from cleaning a regular office. In a traditional office, the same people sit at the same desks every day. In a coworking space or shared office, members come and go, hot desks change hands by the hour, and the kitchen serves dozens of companies at once. This guide covers what makes shared spaces harder to keep clean, what a good cleaning plan includes and how to set one up in NYC or on Long Island.

Why Shared Offices Get Dirty Faster

A coworking space packs more people through the same square footage than most offices. That changes how fast dirt builds up and where it shows:

  • ✓More traffic per desk. A hot desk might see several different people in a day.
  • ✓A busier kitchen. Coffee stations, sinks and fridges are used by every member.
  • ✓Constant meeting room turnover. Rooms are booked back to back, often with food.
  • ✓Restrooms shared by many companies. Complaints travel fast when they are not kept up.
  • ✓First impressions matter more. Prospective members tour the space, and a messy lounge can cost a sale.

The Areas That Need the Most Attention

Reception and Lounges

These are the rooms visitors see first. Floors, seating, glass doors and the front desk set the tone for the whole space.

Hot Desks and Shared Surfaces

Shared desks, phone booths and counters are touched by many hands. Many operators ask for these to be included in the scope, since members do not own them. By default, EEB leaves individual desks and computers alone unless you ask us to include them, so tell us which surfaces count as shared.

Kitchens and Coffee Stations

Counters, sinks, appliance handles and tables need regular attention. Breakroom sanitizing is part of every EEB office visit.

Meeting Rooms

Conference room detailing is available as an add-on, which suits spaces where rooms are booked all day.

Restrooms

Restroom sanitizing is included on every visit. In a busy shared space, frequency matters more here than anywhere else.

What a Standard Visit Includes

Every EEB office visit includes dusting of shared surfaces, vacuuming carpeted areas and mopping hard floors, restroom and breakroom sanitizing, trash removal, and disinfecting high-touch areas like door handles, switches and shared counters. You can see the full list on our office cleaning services page.

Useful Add-Ons for Coworking Spaces

Shared spaces often need more than the basics. EEB's office add-ons include:

  • ✓Interior windows and glass walls or partitions
  • ✓Carpet extraction and upholstery care
  • ✓Floor buffing, burnishing, stripping and waxing
  • ✓Deeper disinfection of high-touch areas, or fogging for larger spaces
  • ✓Conference room detailing, and lobby and common area cleaning
  • ✓Air vent and duct dusting

Add-ons are priced on the area involved, such as the square footage of glass or carpet, not the size of the whole office. Glass-walled phone booths and meeting rooms are common in coworking spaces, so interior glass is a popular choice.

How Often to Clean a Shared Space

Most shared offices need more frequent cleaning than a private office of the same size, because more people use each area. EEB can clean anything from once a week to every day, or every 2 weeks, every 4 weeks or as needed. The more often we clean, the lower each visit costs, because less builds up between visits.

A common pattern for busy spaces looks like this:

  1. Daily or most days: restrooms, kitchen, trash, high-touch points and floors in busy areas.
  2. Weekly: dusting of shared surfaces across the whole floor and a fuller vacuum.
  3. As needed: carpet extraction, glass and floor care, scheduled when the space is quiet.

Timing Around Members

Many coworking spaces are open long hours, so timing matters. Cleaning can happen during business hours, after hours or at night. Scheduling outside standard hours can change the price, and your quote shows it. After-hours cleaning means members walk into a ready space in the morning.

Supplies and Access

Your space can supply its own products and equipment, or EEB provides professional-grade products, sanitizers and disinfectants; for larger offices, a supply or equipment fee is added and shown in your price. Keep the basics on site: broom and dustpan, mop and bucket, toilet brushes, trash liners, hand soap and paper towels.

Access needs a plan in a shared space. To price the work, we need the cleanable square footage and number of people, the number of restrooms and breakrooms, how often and when we can work, and who lets the crew in and how the space is secured.

Pricing a Coworking Space

Your price is based on the cleanable square footage, how often we clean, the hours we work and any add-ons. Standard private-sector offices can see a price online after sign-in, while larger offices, full buildings and spaces with lobbies and shared floors are quoted after a review or walkthrough. EEB does not price office cleaning by the hour.

Keep It Clean Between Visits

A few member habits make a real difference:

  • ✓Put wipes at hot desks and ask members to clear desks when they leave.
  • ✓Label kitchen fridge clear-out days so food does not pile up.
  • ✓Keep enough trash and recycling bins near the kitchen and lounges.
  • ✓Ask members to report spills and restroom issues right away.

A Quick Checklist for Operators

Before you ask for a quote, it helps to walk the space and note:

  • ✓Which desks are shared and which belong to resident members.
  • ✓How many restrooms, kitchens and meeting rooms there are.
  • ✓Where glass walls and phone booths are.
  • ✓When the space is quietest, so the crew can work without interrupting members.
  • ✓Any building rules for after-hours access or freight elevators.
